Notifications and the Activity Feed
Notifications and the activity feed offer two ways to keep up with the various events in Microsoft Teams. Both features offer different settings that can be helpful in your everyday Teams life. You’ll especially want to make sure notifications are set up to suit your working habits so you don’t get overwhelmed.

Navigate the Activity Feed
The activity feed offers an overview of all events relevant to you so you can catch up on your notifications at a glance. You get a listing of missed calls, reactions, posts, @mentions, and more. After an absence or throughout the day, you can quickly get an update on the missed events and jump directly to the place where the action takes place.
The red badge on the Activity icon indicates that you have missed notifications. The number in the badge indicates how many. You can find the activity feed in the app bar of every Microsoft Teams app version.
Navigate the Activity Feed
Click Activity () in the desktop app bar.
Scroll through your missed items and select the one you want to find out more about.
Click the item and take the appropriate action.
TIP
Can I use the activity feed to catch up with what happened?
Yes, the activity feed offers a great summary of what happened and what is important to you. You can compare it to skimming through your Outlook inbox.
Filter the Activity Feed by Notification Type
Your activity feed lets you find important missed events more quickly by filtering the notification by the type that matches the event you’re most interested in. You can also search for keywords or names here.

In the activity feed, click Filter ().
Click More options (⋯).
You can now click the notification type you are looking for.
Alternatively, you can filter for words and names.
Set Your Status
Your status in Teams is normally updated based on your calendar busy status. You can see your status in the upper-right corner next to your profile photo or initials in the Profile menu. The status shows other colleagues in your organization if you are currently available or if they should try to contact you later.
Make sure to use it properly, because the status affects the way you get notifications. You have six status options, including Do not disturb.

Click your profile photo or initials in the top-right corner to open the Profile menu.
Click the first option in the now displayed menu. This is your current status.
Click the status you want to be displayed.
You can reset the status by clicking Reset status.
You can set the duration of your status by skipping steps 3 and 4. Click Duration and set your status and duration there.
TIP
Is there a shortcut I can use to set my status?
Yes, you can use the search bar at the top of the Teams desktop app. There is a command for every status. You can set it to /busy, /brb, /away, /offline, /available, /dnd. Just type in the command and press Enter. Learn more about slash commands in Chapter 4.
Set Your Status Message
In addition to the overall status indicator, you can specify a status message. There is space for a few sentences that explain or supplement your current status. You can also use this message if you are planning for a longer absence or vacation.

Click Set status message.
Type your status message.
Click Show when people message me to make it more noticeable.
Set how long this message should display.
When you are happy with the message, click Done.
TIP
Can I refer directly to one of my colleagues as a representative?
Just like in many other places in Microsoft Teams, you can use the @mention in your status to refer directly to someone else in your stead.
Enable Do Not Disturb
The Do not disturb status is set by default when sharing a screen or app during a Teams meeting. However, you can also set this yourself anytime you’d like. The Do not disturb status suppresses nearly all notifications, so no messages or calls will pop up onto your screen. This makes the status a nice feature to mute all notifications when enabled.

Click your profile photo or initials in the top-right corner to open the Profile menu.
Select the first option in the now displayed menu. This is your current status.
Click Do not disturb.
You can reset the status by clicking Reset status.
You can set the duration of your Do not disturb by skipping steps 3 and 4; instead, click Duration. Set your status and the time after which it should reset. Now click Done.
Manage Priority Access
If you have colleagues who need to reach you even when you are in the Do not disturb mode, there is an option to allow exceptions to bypass the block. Note that these colleagues can bypass the block even when you are presenting your screen in a meeting.

Click Privacy.
Click Manage priority access.
Search for the name of your colleague and click the person’s name when you find it.
You can remove people from the list when you don’t want them there by clicking .
Customize Your Notifications on the Desktop App
When working with Microsoft Teams, notifications can become overwhelming, but they don’t need to be. You should adjust the notifications to your personal needs so you’re receiving only the ones you want.

Click Settings and more (⋯) in the top-right corner to open the Profile menu.
Click Settings.
Click Notifications.
Decide if and how often you want to receive a summary of the missed activities by email.
Decide whether to receive a message preview and a sound for notifications.
The Teams and channels category is for all teams you participate in. Here you can click one of the two presets or make your own settings.
Click Edit to customize the notifications for your chat.
Click Edit to customize the notifications for your meetings.
Click Edit so you can be notified when certain people appear online.
Click Edit to customize the notifications for approvals.
Click Edit to customize other notifications.
Customize Your Notifications on the Mobile App
Just like on the desktop app, you get notifications on your mobile device. The settings of the notifications differ from the desktop settings, so you should edit these settings as well. Tweaking your notification settings on the desktop does not mean they’re set up that way on mobile automatically.

Click your profile photo or initials in the top-left corner.
Tap Notifications.
Tap General activity to edit notifications for all categories (e.g., chat, channels, and more).
Tap Channels to review the channels where you get a notification for any message.
Tap Meetings to edit meeting-related notifications.
Under During quiet time, you can set the days and hours you do not want to receive any notifications. See the next section for more information.
Set When active on desktop to On if you want to receive any notification on your phone and desktop.
Tap When in meetings to block notifications on your phone when you are attending a meeting.
Click the sound you want for your notifications.
Enable or disable vibration.
Enable Quiet Hours on Mobile
Your smartphone probably accompanies you most of the time, whether during the day, evening, or weekend. The Quiet Hours feature is available in the iOS and Android apps to help you keep a strict work-life balance by turning off Teams notifications outside of certain times that you specify. This option is not available on your desktop app, but you can quit the Teams app or set your status to Do not disturb.

Tap your profile photo or initials in the top-left corner.
Tap Notifications.
Tap During quiet time.
Under Quiet hours, specify when to disable notifications each day.
Under Quiet days, specify which days you want to disable notifications completely.
Once you enable an option, you can further specify the times and days by tapping them.
Tip
Is my list of priority access people able to circumvent Quiet Hours?
No, they are not able to circumvent your Quiet Hours by writing you a message or @mentioning you. But it’s important to know that Teams calls will come through even during Quiet Hours!
