Registry Design

The registry was designed for three broad categories: brain tumors, vascular malformations, and functional disorders. Consistency was maintained by utilizing similar parameters as much as possible. Data variables included parameters related to patient demographics, radiosurgical target characteristics, treatment locations, treatment planning and treatment delivery information, complications, and clinical outcomes, including symptom control, clinical and imaging response, patient survival, local disease control or progression, and adverse radiation effects.

The Microsoft SQL Server with relational database design was utilized for this database. Patient demographic data entry was kept similar for all three major treatment categories (Tumors, Vascular Malformations, and Functional). For each type of disorder treated, there were three application screen tabs. The Disease Specific section had parameters related to historical information about the patient which included presenting symptoms, the date of the onset of symptoms, and other pretreatment data points. The Treatment section had parameters related to the radiosurgical procedure. The Follow-Up section was used for multiple follow-up records for each treatment. As much as possible the dropdown menus with multi-select fields were used. The free text entry was allowed but limited to the minimum possible. Reporting and querying function was designed and made available to the end user.

The first prototype was tested for ease of use by clinicians, and feedback was provided to IT staff to make adjustments to the system. All existing patient records from the old system (Access based) were migrated into the new system (SQL based). Once conversion was complete, the data were queried for accuracy. The system went live and became available through any PC connected to the UPMC hospital network. All subsequent patients were entered into this new system.
